## General

### What is CIRO NOISE?

A workplace for your team with thirteen features: wiki, tasks, requests, finance, customers, pitches, booking, meetings, social media, short links, passwords, time tracking and an AI that answers from your company memory. All features share one login, one search and one permission system.

### Who is it for?

For small teams that keep their docs, tasks, customer requests and receipts in separate programs today, for example agencies, trade businesses, small service providers and departments of larger companies.

### Can we start with one feature?

Yes. Each feature works on its own, so you start with the one that saves you the most work and open up the others through roles when you're ready. Whatever you don't need, you switch off for the whole organization.

### How fast are we up and running?

Signing up takes a minute, and setting up your organization with name, prefix and color theme takes about five. After that you invite your team and write the first wiki page.

### Does CIRO NOISE work on a phone?

Yes, in the browser on phone, tablet and computer. The interface adapts to small screens, and there is nothing to install.

### Which languages does the interface come in?

German and English. Each person picks their language in their personal settings, and the AI answers in the language it is asked in.

## Price & billing

### What does getting started cost?

Nothing. The first two seats are free, all features included, no credit card and no expiry. You only pay from the third person on: €25 per additional seat per month plus VAT.

### What counts as a seat?

Every person with full access to your organization, no matter which features they use, and open invitations already count. People who only clock their hours get a free employee seat, and you get two of those for each full seat.

### How does billing work?

Monthly through Stripe, and you can cancel at the end of the current month. All prices are plus VAT, and the amounts are on the pricing page.

### What is included in the price?

Everything: every feature, every permission, the AI and every future improvement. There is exactly one product, and only the number of seats changes. You adjust it any time under Subscription & billing, and your content stays as it is.

### How do we cancel?

Without signing in via “Cancel contracts here” in the footer of every page (ciro-noise.de/en/cancel), or signed in under Subscription & billing with “Cancel subscription”. You choose ordinary or extraordinary and the date and get a confirmation with date and time by email right away. You can also cancel informally in text form, for example by email to hello@ciro.gmbh. Access runs until the contract ends; after that, the two free seats apply again.

### Do we get an invoice?

Yes, a PDF invoice for every payment with your company address and VAT ID, if you have entered them under Company details. You'll find all invoices under Subscription & billing.

## Security & privacy

### Where is our data stored?

On servers in the EU. We store attachments and receipts privately. Only people whose access CIRO NOISE has checked first can open them, and there are no open links that anyone could use.

### How does sign-in work?

With a one-time code sent to your email address, with a sign-in link or with your Google account. There is no CIRO NOISE password, so none can be stolen or reused.

### How are organizations separated from each other?

Every record belongs to exactly one organization, and every access checks that membership. An automated test in the code makes sure nothing touches data without that boundary.

### Who sees what in our organization?

You decide, through roles per feature with the levels read and write. Individual permissions such as reports, team passwords or confidential knowledge are granted separately.

### What happens when someone leaves the team?

You remove the person from the organization once. That same moment, their membership, their permissions and their keys for connected software and AI tools are gone. Their personal account remains.

### Is there a data processing agreement?

Yes. As an admin of your organization you request it from us, and the sub-processors we use are listed in the privacy policy.

## Features

### Which features are there?

Wiki, tasks, requests, finance, customers, pitches, booking, meetings, knowledge & assistant, social media, short links, passwords and time tracking. Each feature has its own feature page with details and examples.

### How do the features connect?

Through the case: a support request becomes a task on the board, your team tracks the time on that task, and that becomes the invoice, which shows up in the customer record. The decision from the meeting becomes a task as well. The links stay visible.

### Can clients collaborate without paying?

Yes. In a client project's room, your client sees the tasks, wiki pages, concept boards, and files you share and comments right on them. Guests take no seat and need no subscription of their own.

### How do I plan with the boards?

A board has columns, and every task carries a key with a number, labels, an owner and comments. You plan in sprints of a few weeks and see from team progress whether your team is on track.

### How does bookkeeping work with our accountant?

CIRO NOISE captures receipts by photo with AI recognition and assigns vendors, cost centers and recurring items. Your accountant gets everything as a clean DATEV export and handles the balance sheet and VAT as before.

### What are reports?

Reports show figures across all requests or all receipts in your organization, for example response times, totals per cost center and open items. They have their own permission, so a team member can work on her requests without seeing the whole company's numbers.

### What can we customize in CIRO NOISE?

Roles, labels, cost centers, prefixes and your organization's color theme. Features you don't need you switch off for everyone, and they disappear from the menu.

## AI & assistant

### What does the AI assistant do?

Isa answers questions from your wiki, your documents, tasks, requests and meetings, right inside CIRO NOISE. Every answer names its source so you can check it.

### Is the AI a RAG system?

Yes. Before Isa answers, CIRO NOISE looks up the matching sections from your wiki, documents, requests, meetings and websites. Isa answers from those sections and links them. When search finds nothing, she says so.

### What is the AI allowed to see?

Exactly what the person asking may see. Anyone without access to bookkeeping gets no figures from it through Isa either, and confidential content needs its own permission.

### Where do the AI models run?

In data centers in the EU. Your content is processed only for the answer at hand and is not used for training.

### Where else does the AI help?

It suggests a priority with a reason for requests, reads amount, date and vendor from receipts and summarizes meetings with their decisions. Each suggestion only counts once you confirm it.

### What is the AI allowance?

Every answer from Isa and every receipt recognition takes computing time. Each organization has a monthly allowance for that, included in the price, and you can see the usage under Subscription & billing.

### Who decides what the AI does?

You do. Isa reads and makes suggestions. Inside CIRO NOISE the only thing she can create is a pitch draft, and you decide what happens with it. Approvals like vacation requests show up as a button that a person clicks. If you connect Claude or ChatGPT with your own permissions, those tools can also create tasks and write drafts.

## Integrations & API

### How do customer requests come in?

Through the web form you embed on your website. The person asking gets the confirmation and your replies by email, and sees the status of their request in the support portal.

### Which calendars and meeting tools can I connect?

Google Workspace and Microsoft 365 directly, and any other calendar through its subscription address (ICS). Appointment suggestions in support and transcripts in meetings come from this connection.

### Can we let Claude or ChatGPT work with our data?

Yes. Your own AI tools reach wiki, tasks, customers, meetings, finance and knowledge through MCP, the open standard for AI tools. An access has exactly the permissions of the person who created it, only covers the organizations that person approves when connecting, and is included in the price.

### Is there a classic API?

Yes. Other software works with CIRO NOISE through a REST API. It uses the same access and the same permissions as the AI connection, and as there, the number of calls in a short time is limited. It is included in the price too.

### Can we export our data?

Yes, your content is yours. Under Organization you can get all your data as a full export at any time, and your bookings also as a DATEV export for your accountant.

### Can we bring over content from Notion, Confluence or Trello?

Yes. You bring over pages from Notion and Confluence and boards from Trello through their export file, under Organization › Import. Contacts come in via CSV.
