# Customers: The CRM for your customers

> Companies, contacts and deals in one record, with every request, quote, invoice and meeting of that customer. CIRO NOISE calculates revenue and open receivables, and follow-ups remind the person responsible.

Before a call you search three programs for what happened last, and still nobody has followed up on the quote from three weeks ago. In the CIRO NOISE CRM every customer has a record with contacts, deals and follow-ups. Requests, quotes, invoices and meetings land in it by themselves, and CIRO NOISE calculates revenue, open receivables and response time for you.

## Customer management at a glance

The base is companies with a customer number, contacts and a person responsible. The status flips from active to dormant when nothing has happened for 90 days, so you see whom you have forgotten. Deals run through fixed stages with a value and a close date. Notes on calls and conversations record what was discussed, and a follow-up with a date and a person responsible reminds them once, on the day.

The record shows everything about a customer on one page: requests, quotes and invoices, tasks, meetings and pitch pages. The customer journey runs from pitch page through quote and order to invoice and payment, and you see where a customer stands right now. CIRO NOISE calculates figures such as revenue, open receivables, response time and satisfaction from the other features, and nobody maintains a number by hand. What you see in the record depends on your permissions in the individual features. So only people allowed to see finance see amounts from quotes and invoices.

Much happens by itself. A new request lands with the right company by its email address, meeting attendees become contacts, and an accepted quote marks the deal as won. CIRO NOISE reports when a company exists twice and merges the two entries. The CSV import creates records and fills empty fields, but never overwrites anything someone has maintained. With the CSV export you take everything back out.

You handle your GDPR duties right in the record. You store marketing consent with evidence, and an objection also overrides any later consent. Disclosure under Art. 15 and deletion under Art. 17 take one click, while receipts stay because of retention duties. For sales there are pitch pages. A pitch page is a page of its own for one customer, protected by an access code, with the quote inside and in your company's brand kit. The AI creates the draft. Only people with the permission see reports on deals and revenue.

## A record that fills itself

Every customer carries their requests, quotes and invoices.

- **See everything about this customer on one page**: Requests, quotes, invoices, tasks, meetings and pitch pages sit in the record, and CIRO NOISE calculates the figures. You only see what you are allowed to see in the individual features.
- **Never create anyone twice**: A request from brandt-soehne.de lands with Brandt & Söhne, and meeting attendees become contacts. On import and in daily use, CIRO NOISE reports when a company exists twice and merges the two entries.
- **Follow up before the customer forgets**: A follow-up with a date reminds the person responsible once, on the day. The dormant status after 90 days shows whom nobody has called in a while.
- **Take the deal through to payment**: Deals run through fixed stages with a value and a close. An accepted quote closes the deal by itself. The customer journey shows the state from pitch page through quote and order to invoice and payment.
- **Present on a page only the customer sees**: The pitch page is a page of its own for one customer, protected by an access code. The quote sits inside, and the design comes from your brand kit. The AI drafts it, you refine it.

## Three moments when your team opens the record

The request through the website, the look before the meeting and the quarterly review.

### The request becomes a pitch page

Ms. Sommer asks about a relaunch through the website, and CIRO NOISE attaches the request to the Brandt & Söhne record. Lena asks the AI for a draft: a page just for Brandt & Söhne in your company's brand kit, with the starting point, the proposal and quote A-2026-031 for €18,000, which lives in finance. Lena sharpens the text and sends Ms. Sommer the link with an access code. Afterwards she sees that the page was opened three times and read for 14 minutes, and calls at the right moment.

- A page of its own for each customer, with an access code
- The quote is linked, not retyped
- The AI drafts, you refine
- You see when and how long it is read

### Before the customer meeting: one page instead of three programs

Kira opens the record. At the top is the pitch page Ms. Sommer has read three times, below it quote A-2026-031 for €18,000 and yesterday's meeting with its summary. Next to that are this year's revenue, an outstanding €2,400 and the BRA board with its open tasks. CIRO NOISE calculates the metrics, and the meeting is attached to the record through the participants' addresses. Kira sees revenue and the outstanding amount only because she may see finance.

- Figures calculate themselves
- Meetings through attendee addresses
- Board and tasks on the customer
- Amounts only with the right permission

### Quarter end: who is open, who is dormant, who may receive mail?

The report shows deals by stage and value. Three companies have been dormant for 90 days, and Lena sets follow-ups. For the newsletter Mara exports the contacts as CSV, with a column showing whether marketing consent with evidence exists. Whoever objected stays out.

- Reports only for those with permission
- Dormant status after 90 days
- CSV export with consent status
- An objection always wins

## Customers in detail

Record, deals, follow-ups and GDPR at a glance.

- **CSV import and duplicates**: The CSV import creates records and fills empty fields without overwriting anything. On top come the CSV export and merging of duplicate entries.

- **Figures**: Revenue, open receivables, response time and satisfaction, calculated from the other features.

### This week's deals

> Which deals are close to closing, and who do I need to get back to this week?

Three deals are in the quote stage, €31,500 in total:
• Winter GmbH – €21,072, pitch page opened three times, last time yesterday
• Seitz Brewery – €6,400
• Hagedorn Logistik – €4,028

Call Hagedorn Logistik first, the callback was due on Friday. The call with Winter GmbH is on your list for Thursday. Raise the open €2,986 invoice there too.

### Prepare a meeting

> I'm meeting Frank Winter tomorrow. What do I need to know beforehand?

Frank Winter runs Winter GmbH and decides on contracts, and Jana Winter handles purchasing. The company has been a customer since 2024, has brought in €18,400 in revenue so far in 2026, and satisfaction is 4.6 of 5.

The 2027 renewal is open: the €21,072 quote is out, and the decision is due by Oct 30. The pitch page for it was opened three times, 14 minutes in total.

Two things to raise: IN-2026-0417 for €2,986 has been open for 12 days, and Deniz has no date yet for the promised training in Ulm. Lena sets up Jana Winter's access by Friday.

### Follow up a trade show

> I talked to four people at the trade show, my notes are below. Match them up, add what's missing and set follow-ups.

Two of the four companies were new: Kühn Construction with Lisa Kühn and Rahn Optics with Daniel Rahn are now on file. Mehmet Arslan is now a contact at Hagedorn Logistik, and Tobias Seitz was already on Seitz Brewery's record.

Your follow-ups: the Kühn Construction demo on Tue Oct 20, send prices to Rahn Optics, follow up with Hagedorn and Seitz. The overview of all four conversations is in the wiki under “Trade show 2026: contacts”.

## Frequently asked questions

### Do I still need separate CRM software?

For most small teams, no. Companies, contacts, deals with stage and value, follow-ups and reports are included. Unlike in a standalone CRM, requests, quotes, invoices and meetings land in the customer record on their own, because they happen in the same system.

### How do my existing customers get in?

With a CSV import for companies and contacts. The import fills empty fields, never overwrites what someone has maintained and reports every row that didn't make it. You find duplicates afterwards and merge them.

### How does the customer record fill up?

Mostly by itself. Requests, meetings, quotes, invoices and payments land in the record, matched by email address. Revenue, open invoices, requests and meetings are visible at a glance, and you only add what isn't anywhere else.

### How do I keep track of my deals?

Every deal has a value, a stage and a follow-up, and the deal overview shows what's next. When a customer accepts the quote online, the deal moves to won by itself. Fixed stages keep win rate and metrics comparable over the years.

### How does the customer record help with GDPR?

It keeps marketing consent per contact with proof, and an objection overrides any later consent. Access under Art. 15 and erasure under Art. 17 are one click per contact. The CSV export carries consent as its own column, ready for your mailing tool.

### Can Claude keep my customer records up to date?

Yes. Claude connects to your organization, searches and creates companies and contacts, logs calls and follow-ups and analyzes your deals. After a call, one sentence to Claude and the record is up to date.

### Can I control who sees revenue?

Yes. Every line in the record follows the permission of the feature it comes from: whoever may not see invoices sees no amounts in the record either. Reports have their own permission, so management sees the figures for the whole company and the team takes care of its customers.
