# Meetings: Meeting notes, no typing

> Meetings from Google Meet arrive with transcript, duration and attendees. The AI summarizes and lists decisions and action items, and one click turns an item into a task with an owner. You share each meeting individually, and customer meetings attach themselves to the customer record.

Two weeks after a call, nobody remembers what was decided. CIRO NOISE pulls the transcript from Google Meet, and the AI turns it into meeting notes with a summary, decisions and action items. One click turns an action item into a task with an owner, and customer meetings land in the customer record on their own.

## From meeting notes to tasks

Meetings arrive from Google Meet through the Google Workspace connection, with transcript, duration and the list of attendees. CIRO NOISE records nothing itself and never joins a meeting. It processes the transcript Google Meet creates and files it where your team already works. As with any recording, attendees should know the call is being transcribed, and one sentence at the start is enough. When the call ends, the meeting shows up for you without any extra steps.

The AI reads the transcript and produces what otherwise takes 20 minutes of note-taking: a short summary, the decisions and the action items, each with a priority. One click turns an action item into a task on the board, with an assignee and a link to the meeting. Items that are done or no longer relevant you mark as done or dismissed. The transcript stays below for checking. The list searches the content of every meeting, and the calendar view shows what happened when.

You decide for each meeting who can read it, and that person also needs access to the feature. So the leadership meeting stays with leadership, and the weekly goes to the whole team. Customer meetings attach to the customer record on their own, because CIRO NOISE recognizes the company from the attendees' email addresses. Guests from a company that is already in your customers become contacts, your own team doesn't. Ask the AI what was decided about pricing in March, and it answers from the summary and names the meeting as its source.

The calendar ties it together. The team calendar shows meetings and absences in one view, and each person connects their own calendar, whether Google, Microsoft or ICS. A subscription feed with meetings, absences and due tasks goes into the calendar you already keep open. That way the Friday meeting with Brandt & Söhne sits next to the task that has to be done by then, and nobody keeps a second calendar.

## Every decision reaches the right person

The AI writes the notes that otherwise cost you 20 minutes after every call.

- **Read what was discussed**: Every meeting is there with date, duration, attendees and the full transcript. Anyone who missed it reads up and works from what was agreed.
- **The notes in a few lines**: The AI sums up the meeting, names the decisions and lists the action items with a priority. The summary replaces the meeting notes, and the transcript stays below for checking.
- **Turn the decision into a task**: One click turns any action item into a task on the board, with an assignee and a link to the meeting. Items that have already been handled you check off or dismiss.
- **Find the meeting from March**: The list searches the content of every meeting, and the calendar view shows them by date. The AI answers questions about a decision and names the meeting as its source.
- **Choose who can read it**: For each meeting you decide who sees the transcript and summary. Customer meetings attach to the customer record on their own, matched by the attendees' email addresses.

## Three meetings every team knows

The weekly, the customer call and the question two weeks later.

### Monday, 10 am: the weekly

The transcript arrives after the call, and the summary names three decisions and five action items. Kira turns the action items into tasks with a name on each, one click per item. The decision on the new vacation policy matters beyond this week, so it becomes a wiki page with text from the summary. Pascal was out at a customer's and reads up instead of asking on Tuesday what he missed.

- Summary a few minutes after the call
- Action item becomes a task in one click
- Priority per item
- Sharing per meeting

### Thursday: the call with Ms. Sommer

Lena mentions at the start that Google Meet is transcribing, then they talk through the relaunch. After the call the meeting sits on the Brandt & Söhne record, because CIRO NOISE recognizes Ms. Sommer's email address. Ms. Sommer herself is now listed as a contact. The action item “quote by Friday” becomes a task for Lena, linked to the meeting. Anyone who opens the record later sees the conversation next to the quote and the invoices.

- Customer record via the attendees' addresses
- Attendees become contacts
- Task for sales, linked to the meeting

### Nele asks: “Why did we decide against vendor X?”

Nele joined two weeks ago and was out of the office that day. She asks the AI, and the answer comes from the March 4 summary, with a link to the meeting and the reasoning from the transcript. In the team calendar right next to it, Nele sees who is out this week and adds the subscription feed to her own calendar. She got her answer without having to ask Kira.

- The AI answers with the meeting as its source
- Search across the content of every meeting
- Team calendar with absences
- Subscription feed into your own calendar

## Meetings in detail

The key meetings and calendar features in one sentence each.

- **Minutes from Google Meet**: Meetings arrive with transcript, duration and attendees. CIRO NOISE uses the Google Meet transcript and never joins the call itself.
- **Your notes, minutes by AI**: Without Google Meet, you log the meeting yourself: add your notes, and the AI turns them into a summary and action items. Your notes stay below.
- **AI summary with decisions**: The AI writes the summary, picks out decisions and lists action items with a priority.
- **Action items become tasks**: One click creates the task on the board, with an assignee and a link to the meeting. You can mark items as done or dismissed.
- **Search across transcripts**: Search finds meetings across transcript and summary. The calendar view shows them by date.
- **Meetings in the customer record**: The meeting attaches to the company via the attendees' email addresses. External attendees from a known company become contacts.
- **Sharing per meeting**: For each meeting you decide who can read it. The person also needs access to the feature.
- **Team calendar**: The team calendar shows meetings and the absences from time tracking in one view.
- **A calendar for each person**: Each person connects their own calendar, whether Google, Microsoft or ICS.
- **Subscription feed**: Meetings, absences and due tasks arrive as a feed in the calendar you already use.

## Tell Claude. CIRO NOISE records it.

### Decisions into tasks

> What did we decide in the meeting with Winter GmbH? Turn it into tasks.

The meeting on September 3 settled it: Winter GmbH renews for 2027 with training at the Ulm site, and the quote goes out by mid-October.

That turned into three tasks:
• CIR-150 Write the quote – you, by Oct 16
• CIR-151 Plan the Ulm training – Deniz, by Oct 30
• CIR-152 Add the purchasing contact – Lena, by tomorrow

The decision is also on Winter GmbH's customer record.

### What's still open?

> What's still open from the September meetings? Sort it by importance and put it in the wiki.

The 14 meetings in September left 17 items open. 5 of them are already on the board, and the other 12 are on the wiki page “Open items from September”, sorted by importance. The top three now have tasks:
1. Approve the 2027 price list – CIR-160
2. Schedule the Ulm training – CIR-161
3. Check the notice period in the contract template – CIR-162

You decide on the other nine on the wiki page.

### Minutes into the wiki

> Write minutes of today's leadership meeting into the wiki, with decisions and owners. And update the annual goals page.

The minutes “Leadership Oct 12, 2026” are in the wiki. The decisions are two new support positions and 4% higher prices from January, and the 2027 trade show is canceled. Sabine posts the job ads, Petra updates the price list, and the customer letter about the price increase is yours, each with a due date.

In “Annual goals 2026”, goal 3 “Support response under 4 hours” now has a measure: the two new hires, linked to the decision.

## Frequently asked questions

### How do my meetings get into CIRO NOISE?

From Google Meet automatically: through the Google Workspace connection, CIRO NOISE fetches the transcript after the meeting. For conversations without a transcript, you add the meeting by hand with your notes.

### What does the AI make of a conversation?

A summary and a list of agreements, from the transcript or from your notes. Your own notes always stay below. So even people who weren't there know what was decided.

### How does a decision become a task?

With one click on the action item: you turn it into a task on the board, check it off directly or decline it. Open items stay on your dashboard until they're decided.

### Does the customer record show who I talked to?

Yes. CIRO NOISE links the meeting to company and contact through the attendees, and it shows up in the customer record next to requests, quotes and invoices. Before the next meeting, you have the last conversation right in front of you.

### Who sits in on the call?

Only the people you invited. Google Meet creates the transcript, and CIRO NOISE processes it after the call without joining or recording anything itself.

### Can I ask Claude what was discussed in a meeting?

Yes. Claude connects to your organization, finds meetings and reads summaries and open action items, with the permissions of the person who grants access. Ask what was last agreed with a customer, and Claude answers from the summary.
