# Agencies: From pitch to sign-off

> For creative, social media and web agencies: your clients comment in their own project space, their brand kit supplies logos and colors for posts and pitch pages, and logged hours go onto the invoice in one click.

Agency software for teams that win the deal with a pitch and then run the project together with the client: concept board, tasks, wiki and files in one space per client. The client works along as a free guest, and you bill your logged hours in one click.

- Clients join as free guests
- Bill hours in one click
- Brand kit per client

## One shared place for you and your client

After the deal is signed, most of the back-and-forth with your client runs through email. They ask how far along the project is, their feedback on the concept arrives in an email with five attachments, and soon nobody is quite sure which file is the current one.

In CIRO NOISE, every client gets a project space of their own. There they see the board with the tasks you share with them: what’s done, what your team is working on right now and what comes next. They complete the tasks assigned to them, and anything you mark as internal stays hidden.

You sketch the concept together on the concept board: page structure, flows and drafts, plus tasks and wiki pages as cards. The client comments right where it matters. Clients sign in with an email code and don’t take up a seat.

## How agencies like yours use CIRO NOISE

All three work with the same features, only the focus is different.

### Creative and advertising agency: From briefing to approval in one space

The concept takes shape on the concept board, you plan the execution on the board, and the client gives approval in their project space.

- Concept boards with tasks, wiki pages and people as cards
- A project space per client, with informal or formal address
- Tasks that sit with the client, with a notification to them
- Internal notes only your team sees

### Social media agency: Posts in every client’s look

You set up a brand kit for every client and build carousels and posts from it. You publish straight to Instagram and answer the comments in the same place.

- Brand kits with logos, colors, fonts and brand voice
- Carousels and posts in the client’s look
- Publish straight to Instagram, export as images for other networks
- Short links with automatic campaign tracking

### Web and digital agency: Web projects that are on time and billable

You plan milestones on the board, and bug reports from the client’s website land in the inbox. Logins sit in the vault, and logged hours go onto the invoice in one click.

- Bug reporter for the client’s website, every report lands as a task
- Client logins encrypted, shared by one-time link
- Hours on the task, billed in quarter hours
- Quote with a payment plan in percent of the total

## This changes in your agency

Feedback, logos and hours live with the project, and every hour is billed at the end of the month.

- **Feedback lands on the task**: Clients comment in the project space right on the task or on the concept board. You see at once what a comment refers to, and nobody has to sort out an email with five attachments anymore.
- **Every hour makes it onto the invoice**: Whoever works on a task logs the time there. You add open hours to the invoice as a line item in one click, and the customer record shows you the effort per project.
- **The client’s logos live in the brand kit**: Logos, colors, fonts and tone of voice are in the client’s brand kit. Posts, pitch pages and quotes pull them from there, and everyone on the team uses the right logo file.
- **You win new clients with a page of their own**: Instead of a PDF quote, you send a pitch page in the client’s look, with references, process and the quote inside it. You see when the client has read it.

## An agency’s tools

Most agencies start with these five features, from the first pitch to the paid invoice. Every other feature is included at no extra cost.

- **Boards**: One project per client, with short code, sprints and the client as a guest
- **Social media**: Posts and carousels from the client’s brand kit
- **Customers**: Customer record with pitch, quote, order, invoice and payment
- **Finance**: Hours into invoices, quotes with payment plans, reminders
- **Wiki**: Project wiki the client can read along

### Pitch and quote

> Nordlicht Studio wants a new website. Build them a pitch page with our process and two matching references, and create the quote to go with it.

The pitch page “Relaunch Nordlicht Studio” is ready as a draft, written informally to Mara Lenz. It walks through your four phases from workshop to build, starting in January. The references are Café Brenner, with 40% more online reservations, and Physio Westend, with booking built in.

Quote QU-2026-071 for €18,400 net is linked as a section. Before you publish the page, set the payment plan in the quote to 30/40/30, as with Physio Westend. Tom has a follow-up on Thursday, Oct 15, to send the page to Mara Lenz.

### Kick off the project

> Nordlicht said yes. Please create the project, plan the first two weeks and write a wiki page with the goals and all the contacts.

Project NRL “Relaunch Nordlicht” is set up with nine tasks from the four phases. Tom takes the workshop, Ida the moodboard and design, and Can the booking integration. For sprint 1 I suggest six tasks from the workshop through the sitemap, with design following in sprint 2.

The wiki page “Relaunch Nordlicht: goals & contacts” records the goal: half of all class bookings online by June. I proposed the kickoff on Oct 28 on the client record. When you're ready, share the project space with Mara Lenz.

### Status and invoice

> How far along is the relaunch? If Nordlicht has signed off on the design, please write the second progress invoice.

The relaunch is at 14 of 19 tasks. Mara Lenz signed off on the design on Nov 24 and asked you to use the colors from the Altona studio. So the draft for the second installment is under Finance: 40% of €18,400, which is €7,360 net. The first installment of €5,520 arrived on Nov 3.

Three tasks have been waiting on Nordlicht for six days: the studio page copy, the Altona photos and access to the booking system. I asked Mara Lenz to reply by Friday, Dec 4. Launch is planned for the third week of January.

## Every tool costs you extra

Projects, docs, CRM, invoicing, presentations, social media planning, whiteboard, passwords and file storage: that’s 9 tools, 9 logins and 9 subscriptions. With CIRO NOISE, it’s one.

## Common questions from agencies

### What does it cost to invite clients into project rooms?

Nothing. Clients are guests: they sign in with an email code and see only what you share with them. They don’t take up a seat, so you only pay for your own team.

### Do internal discussions stay internal?

Yes. You mark tasks, comments, pages and concept boards as internal. With “Customer view” you check beforehand exactly what they’ll see.

### Can we publish posts directly?

Yes, you publish to Instagram straight from CIRO NOISE in the client’s look and answer the comments in the same place. For other networks, you export the posts as images.

### How do I bill my hours?

With one click. You log the time on the task and set the hourly rate and the “billable” checkbox. CIRO NOISE rounds up to the started quarter hour and turns the open hours into the invoice. It locks billed entries, so every hour is billed exactly once.

### How does each client get posts in their own brand?

With a brand kit per client that holds their logos, colors and fonts. If you like, CIRO NOISE suggests the kit from the client’s website. Carousels and pitch pages pick it up automatically, so every post appears in the client’s look.

### Can Claude prepare pitch pages and quotes?

Yes. Claude connects to your organization, creates tasks, builds pitch pages as drafts and prepares quotes. You approve them and send them to the client yourself after checking the draft.
