For architecture and engineering firms where plans sit in Dropbox, hours in Excel, and client agreements in the inbox. In CIRO NOISE, every project has its own room, your team books time to the work stage, and that becomes the next installment invoice.

- Time per project and stage
- Project room for clients
- Two seats free

## How many hours have gone into this project already?

The question always comes too late. Hours live in a spreadsheet not everyone updates, client agreements in emails, and plans in three folders. When the installment invoice is due, you spend an afternoon piecing together what happened in which stage.

In CIRO NOISE, every project has a board with tasks per work stage. Your team books time straight to the task, and you always see how many hours the project has taken.

Your client gets a project room. There they see the tasks, files, and wiki pages you share and comment right where it matters. Quotes with a payment schedule and installment invoices are written in the same place.

## How firms like yours use CIRO NOISE

Building design, structural, or building services: the workflows are the same.

### Architecture: From design to sign-off with the client

Design ideas on the concept board, coordination in the project room, and every work stage as its own column on the board.

- Concept boards for sketches and variants
- Project room where the client comments
- Tasks per work stage with deadlines
- Plans and minutes in the project's file storage

### Engineering: Hours that go straight onto the invoice

Every hour lands on the right project. Booked time becomes the installment invoice, rounded up to the started quarter hour.

- Book time to task and project
- Working hours under German law, kept separate
- Installment invoices from payment schedule or hours
- E-invoices for public clients

### Office standards: What every project needs is in the wiki

Checklists, templates, and lessons from finished projects live in one place, and new hires find them through search.

- Checklists per work stage
- Templates for minutes and letters
- The AI answers from the wiki with a source
- Portal passwords in the shared vault

## This changes

You always know where a project stands and what you can bill.

- **Hours per project at a glance**: Your team books time to the task. You see per project how much has gone in, and the hours on every single task.
- **The client comments in the project room**: Instead of emails with attachments, there is one room per project. The client only sees what you share.
- **Installment invoices without searching**: The invoice comes from the payment schedule or booked hours, as an e-invoice for public clients too.
- **Knowledge stays in the firm**: Checklists and lessons live in the wiki, and the AI finds them for your team.

## The tools your firm starts with

This is where planning firms usually start: projects, time, billing, and office standards. Time lands on the project, the invoice adds it up, and the wiki keeps what you learned. As your firm grows, every other feature is already there.

- **Boards**: One board per project, tasks per work stage, project room for the client
- **Time tracking**: Working hours under German law, vacation and absences across the team
- **Finance**: Quotes with payment schedule, installment invoices from hours, e-invoices
- **Wiki**: Checklists, templates, and lessons from every project
- **Customers**: Clients, consultants, and authorities with their projects

### Project status

> How far along are we with the Sonnenhof daycare? What is still open in design planning, and who is on it?

The Sonnenhof daycare is in design planning, due November 20. Four tasks are still open: fire safety and building services coordination are with Jana Wolf, the elevations with Malte Berg.

The cost estimate had no owner. It is now SON-24 with Malte, due November 13, one week before the deadline.

### Installment invoice

> Prepare the next installment invoice for the municipality of Ebersberg. What does the quote say for design planning?

The second installment for design planning is a draft under Finance: 25% from quote AN-2026-008, that is €21,000 net. Add the municipality's routing ID before you issue it, and the invoice goes out as XRechnung.

The first installment, RE-2026-044 for €12,600 for preliminary design, is paid.

### Record a standard

> Record in the wiki what we learned about fire safety on the daycare, so we know it on the next project.

“Checklist work stage 3” has a new section, “Daycares and schools”: from now on you settle the second escape route per group room with the inspector during preliminary design. The source is Jana's comment on SON-19.

When someone asks the AI about fire safety in daycares on the next project, they get this page as the answer.

## Every tool costs the office extra

Project planning, time tracking, invoicing, whiteboard, file storage, wiki, and contacts: that is 7 tools and 7 subscriptions. With CIRO NOISE, it is one.

## Common questions from planning offices

### Can I book time to project and work stage?

Yes. Your team books time to the task, and the task belongs to a project and stage. That way you see per project how many hours have gone in.

### How does the client take part?

They get a project room and see only what you share: tasks, files, wiki pages, and concept boards. They comment right where it matters, without their own subscription.

### Can I send installment invoices?

Yes. Quotes carry a payment schedule in percent, and each installment invoice comes from it. Or you bill booked hours, rounded up to the started quarter hour.

### Can e-invoices go to public clients?

Yes. If you enter the routing ID on the invoice, it goes out as XRechnung, otherwise as ZUGFeRD once you turn that on in the settings. Both are tested against the official validator.

### Where do our plans live?

In the project's file storage or right on the task. Whatever is in Google Drive shows up in the same storage.

### Can Claude summarize project status?

Yes. Claude reads a project's board, names open tasks and owners, and prepares installment invoices as drafts. Issuing always happens in the app.
