# Sales: One record per customer

> For B2B service providers and sales teams: conversations, quotes and invoices sit in one record per customer, follow-ups remind you of the next call, and a quote accepted online becomes the invoice.

For sales teams and owners who sell themselves. Because conversation notes, quotes and invoices are created in CIRO NOISE, they land in the customer’s record on their own. You don’t have to fill anything in afterward.

- Records fill themselves
- Quotes accepted online
- Two seats free

## After the meeting, there’s no time left for the CRM

After the meeting you’re supposed to add the note to the CRM, after the quote change the stage, and after the invoice enter the revenue. Everyone knows it matters, and it still gets put off. After three months, half of it is wrong.

In CIRO NOISE, the customer record is tied directly to the work: inquiries, meetings, quotes, invoices, payments and tasks land with the right customer on their own. CIRO NOISE calculates revenue, open receivables and response time by itself.

At the top of the record you see the customer journey from the pitch page through quote, order and invoice to payment, and where things are stuck right now. From there you create the pitch page, write the quote or invoice from the accepted quote.

## How sales teams like yours use CIRO NOISE

Whether you sell as the owner or lead a sales team, you work with the same customer record.

### Owner-led sales: Forget nothing, even when you do everything yourself

Follow-ups remind you of the next call, the record shows you the last conversation, and the accepted quote becomes the invoice with one click.

- Follow-ups with a date and a reminder
- Meetings land with the customer on their own
- Quote accepted online, deal set to won
- Invoice from the accepted quote

### Sales team: A pipeline your team trusts

Every deal sits in its stage, every customer has an owner, and reports are calculated from real quotes and invoices.

- Pipeline in columns with value and close date
- An owner per company, follow-ups for colleagues too
- Quote acceptance rate, revenue per customer and dormant customers
- Reports visible only to the roles that should see them

### Account management: Keep an eye on existing customers

The record shows the customer’s support requests, their ratings and open invoices. Anyone who hasn’t heard from you in 90 days stands out.

- Requests and ratings per customer
- Open receivables and payment status
- Dormant customers by days without contact
- Marketing consent with proof under the GDPR

## This changes

The record fills up with the work your team already does.

- **Every meeting lands in the record**: Every support message, meeting, quote and payment leaves an entry with the customer. If a participant’s email address belongs to a known company, they become a contact at that company.
- **A pitch page instead of a PDF**: The pitch page shows the situation, proposal, process and quote in the customer’s look. You see whether and how long it was read, and you call at the right moment.
- **From yes to invoice without retyping**: The customer accepts the quote online, the deal switches to won, and you create the invoice straight from the quote.
- **Privacy sits on every contact**: For every contact you record consent with proof, objection, access and deletion. An import never creates consent.

## The tools for sales

Sales teams usually start with these: customer record, pipeline, quotes and meeting notes. Support, projects and billing are already included when you need them.

- **Customers**: Customer record, customer journey, pipeline and follow-ups
- **Finance**: Quotes customers accept online, and invoices from them
- **Meetings**: Meeting notes with a summary, right in the record
- **Requests**: Customer requests, visible in the customer’s record
- **Knowledge & assistant**: “Which payment terms do we offer?” – answer with a link to the wiki

### Log the conversation

> What's going on with Winter GmbH right now? Please add Jana Winter as a contact and log today's call. They want to go up to 60 licenses, and the budget is approved.

Jana Winter from purchasing is now a contact on Winter GmbH's record. The call is logged: 60 licenses instead of 40 from January, the budget is approved, and they want to decide by Oct 30. The current contract ends on Dec 31.

Of your five follow-ups this week, this is the most urgent one: the quote should reach Jana Winter by Friday, Oct 16. Winter GmbH also still has €2,986 open.

### Pitch and quote

> Build Jana Winter a pitch page for the renewal at 60 licenses and create the quote with it, including our volume discount.

The pitch page “Renewal 2027 – Winter GmbH” is ready as a draft for Jana Winter. It picks up the request from the September meeting: two training sessions in Ulm for the 20 new users.

Quote QU-2026-090 is linked. 60 licenses at €30 for twelve months come to €19,872 with the 8% volume discount, and with the €1,200 training it's €21,072 net. You publish and send it. On Tuesday, Oct 20, a follow-up reminds you to check whether the page has been opened.

### Start of the week

> New week. We're still €27,700 short of the quarterly target. What do I need to get done this week? Anything accounting needs to sort out, give them as a task right away.

For the missing €27,700, Winter GmbH matters most this week. On Thursday, Oct 22, you'll discuss the €21,072 quote, and their pitch page has already been opened three times, most recently last night. Before that, invoice IN-2026-262 for €2,986, open for 12 days, should be cleared up. Instead of a reminder, it's now SLS-41 with accounting, due Wednesday.

Two follow-ups are overdue: Hagedorn Logistik is waiting for your callback, and Seitz Brewery for the quote for 15 licenses you promised them at the end of September.

## Every sales tool costs extra

CRM, presentations, quotes and invoices, meeting notes, online scheduling and support inbox: that’s 6 tools, 6 logins and 6 subscriptions. With CIRO NOISE, it’s one.

## Common questions from sales teams

### Does the CRM really keep itself up to date?

Mostly, yes. Inquiries, meetings, quotes, invoices and payments land in the record on their own, and CIRO NOISE calculates revenue and open receivables. You only add what isn’t anywhere else.

### How do my existing customers get in?

With a CSV import for companies and contacts. The import fills empty fields, never overwrites what’s already maintained, and reports every row that didn’t make it. CIRO NOISE spots duplicates by domain and name.

### Does the pipeline move on its own?

Yes. When a customer accepts a quote online, the deal moves to won. When they decline, it moves to lost. The stages are fixed so automation and reports always add up.

### Can I control who sees which numbers?

Yes. Maintaining customer records and viewing reports are separate permissions. A colleague looks after her customers, and management sees the numbers for the whole company.

### Can customers accept quotes online?

Yes. The customer opens the quote in the customer portal via a secure link and accepts it there, without needing an account. The deal then moves to won by itself, and the quote becomes the invoice with one click.

### Can Claude update the record after a customer call?

Yes. Claude connects to your organization, searches companies and contacts and creates new ones. Claude also logs calls and follow-ups, reads the pipeline and builds pitch pages as drafts. After a conversation, you tell Claude in one sentence what was discussed, and the record is up to date.
