A vendor is anyone who sells goods or services to your business and sends you an invoice for it: the print shop, your internet provider, the cleaning company. In CIRO NOISE, vendors are part of your business partners. The same list also holds customers, so it covers everyone who pays you or whom you pay.
You'll find the list under Contacts › Suppliers. For each business partner it holds name, email, phone, address, IBAN, BIC, tax number, VAT ID, payment terms and a default category for their receipts.
Each vendor appears only once in the list. That way, all invoices from the same supplier end up on the same entry, and you can see at a glance how many receipts belong to them.
How vendor matching works in CIRO NOISE
When you upload a receipt, CIRO NOISE compares the recognized name with your business partners. Up to five suggestions appear above the receipt, each with its match score, such as "Name 92% match". One click assigns the receipt.
If there is no matching entry yet, CIRO NOISE creates the vendor under the name you entered when you save the receipt. Upper and lower case don't matter, so "miller print" and "Miller Print" won't become two entries.
A real-world example
A café gets an invoice from its coffee roaster every week. With the first receipt, CIRO NOISE creates the roaster as a vendor, and the owner adds IBAN and payment terms. From the second invoice on, CIRO NOISE already suggests the roaster because the name matches. In the reports she sees that the roaster is her largest expense.
Link to contacts and DATEV
You can link a vendor to a company in your contacts. Accounting data and customer management then belong to the same business partner. In the DATEV export, every vendor gets their own personal account, starting at account number 70000 by default.
The vendor list is accounting data because it contains bank details. To see it, a person needs both the finance permission and the contacts permission. If you delete a vendor, their receipts stay.
